As EdTech Vendors create new AI products and introduce AI features to existing ones, schools need to review the compliance of the tools that they are using to avoid risks and issues. The summer is the perfect time for an EdTech Audit to go into the new academic year with a safe, secure and compliant EdTech ecosystem, and this article takes you through what you need to do to conduct one. 

Education technology vendors are in the midst of a rapid AI integration trend, in addition to launching entirely new AI products, many big EdTech players are adding generative AI features to existing platforms already popular in schools. For example, Google’s Workspace for Education now offers AI-powered writing assistance (via its Gemini model) in familiar apps like Docs and Slides, and Khan Academy has introduced an AI tutor called Khanmigo for teachers and students. These enhancements promise to help educators with tasks like lesson planning, grading, and student support. 

But, with this unprecedented speed of AI tool development in education, schools need to adapt continuously. Education experts have noted that while these developments are exciting, it makes the need for teacher training on AI even more urgent. In other words, when a LMS or classroom application that a school has used for years suddenly adds an AI chatbot or automation feature, educators need to quickly understand how it works and how to use it appropriately. This new reality is pushing schools to stay informed and agile in how they manage their EdTech tools and their relationships with EdTech vendors.

New AI Systems and Features Bring New Risks

Alongside their benefits, AI-driven features introduce fresh privacy, safeguarding, and cybersecurity risks that schools must consider. Many of the risks are extensions of familiar EdTech issues, but AI operates at a larger scale and speed, creating new risks as well as exacerbating existing ones. A recent case in Los Angeles saw an AI-powered education app abruptly shut down, leaving parents worried about what happened to the student data it had collected and with questions for the school about how it had vetted the vendor, and what safeguards it had put in place. This scenario demonstrated how quickly trust can erode if it is unclear whether a school has assessed and managed the risks associated with using a third party EdTech Vendor’s AI platform.

Safeguarding and Child Protection is another concern. AI assistants might inadvertently produce inappropriate content, or fail to filter harmful material, exposing students to potential harm. There have also been instances of students misusing generative AI provided by the school to create deepfakes and abusive content, underscoring the need for monitoring and education on ethical use.  

Cybersecurity risks are also heightened, as every new AI integration can expand a school’s digital attack surface. An unvetted AI plugin or an outdated version of an app with AI could introduce vulnerabilities. Moreover, if a school isn’t fully aware of which apps are handling student data (and how), it’s difficult to ensure compliance with regulations and security standards. Unmonitored or unapproved tools, especially those no longer in use, can become security vulnerabilities or lead to compliance breaches. In short, when your classroom software evolves, your risk assessments and safeguards must evolve with it.

Why Schools Should Review EdTech Tools Regularly 

Given the rapid changes, it’s clear that schools need to review their EdTech portfolios on a regular basis. In fact, many experts recommend treating this as an annual (or even semi-annual) exercise and the summer break is an ideal time. During summer, IT administrators and digital learning leads can take stock of the past year’s changes without the daily pressures of classes. Tech giants effectively hand educators “major homework for the summer” to adjust lesson plans and methods for AI features which arrive in their classrooms at the start of every new academic year. Dozens of new or updated EdTech products may need evaluation before the new school year and a routine summer review ensures that no major update or new tool catches the school off-guard in September. 

Regular EdTech audits help in several ways: 

  • First, they reveal if any application has changed its terms of service or privacy policy (which often happens when new features like AI are added). School leaders can then verify that the tool still aligns with the school’s student data protection standards and safeguarding policies. 
  • Second, a review highlights which tools are being used and which are not. Schools often discover they have multiple apps serving the same purpose (for example, two different quiz platforms or redundant communication tools) resulting in unnecessary costs and complexity. Without a whole-school view, departments might unknowingly pay for overlapping services. Identifying these redundancies means the school can consolidate and eliminate needless spending.
  • Third, a regular review is a chance to gather input from teachers about what is working well and what new needs have arisen, ensuring that the EdTech lineup actually supports teaching and learning goals.

Conducting an EdTech Portfolio Audit: Practical Steps 

For school leaders and IT administrators looking to conduct an EdTech portfolio audit, here are some practical steps and considerations: 

  1. Create an Inventory of all EdTech Tools: Begin by listing all software, apps, and platforms used in the school. Include everything including learning management systems, content apps, assessment tools, communication platforms, etc. This inventory should note the current version and any recent updates or announcements from the vendor (especially those related to AI features). As you review, look for duplicate functionalities across your EdTech Portfolio. It’s inefficient and costly to maintain two different apps that accomplish the same task and once you have completed further steps in the audit, you can look to reduce these duplications.
  2. Identify AI Updates and Changes: For each tool, you need to identify whether it uses AI so that you can make sure it meets your school’s requirements for AI use. You can review release notes or vendor communications for details on this. Where you identify that AI is being used (for example where a commonly  used platform has introduced an AI assistant or changed how it processes data) mark it for closer review. Remember that even familiar tools may now be doing unfamiliar things (e.g. a grading app may now be using AI to analyse student work).
  3. Assess Risks: For each tool, you need to assess it for any risks relating to privacy, ethics, cybersecurity etc. This can be done using your ethics, privacy and security by design processes. You will need to determine what data each AI feature collects and where that data goes. Does the tool send student information to an external AI service? Is content moderated for appropriateness? You will also need to review the Vendor’s Privacy Policy, Terms and Conditions etc. and if needed, reach out to each Vendor with further questions. You will need to review this information against any legal requirements that your school is subject to, as well as any internal policies that the school has for AI, Data Protection, Privacy, Cybersecurity, Safeguarding and Ethics. It may help you to involve your schools Data Protection Officer or IT Security staff in this analysis.
  4. Consult Your Educators: Gather direct feedback from teachers, staff and students about the tools. Did they notice any changes in how the app behaves? Are they comfortable with the new AI features or do they have concerns? Teacher input will highlight practical issues (like an AI feature that produces incorrect answers, or a chatbot students found confusing). At the same time, gauge the staff’s confidence in using these AI-enhanced tools. With 58% of educators have received no training on AI (as one US survey found), there may be knowledge gaps required to increase AI Literacy.
  5. Eliminate Duplications and Unused Tools: Where you have identified duplicate functionalities across your EdTech portfolio, decide which one to keep based on effectiveness, user preference, and compliance. Also identify any tools that saw little to no use in the past year, these “shelfware” apps might be candidates for retirement to reduce clutter and risk. Removing or consolidating tools not only saves money but also simplifies data governance (fewer apps means fewer points of potential data leakage or attack). 
  6. Update Policies and Documentation and Provide Training: If you haven’t already, update your school’s acceptable use policies and AI guidelines to reflect the current state of technology. Clearly outline for staff and students what is acceptable (e.g. using an AI homework helper within certain boundaries) and what is not (e.g. inputting sensitive student data into an AI tool). Ensure that any safeguarding guidelines cover the new scenarios that AI tools introduce. Document these policies and make them easily accessible. Over the summer, you might also update parental consent forms or inform parents about how the school is approaching AI in the classroom. You should also deliver training and professional development sessions on AI and these policies and guidelines, including any new updates, to address any gaps that you have identified in the school community’s knowledge on AI.
  7. Plan for Ongoing Monitoring: Vendor management is not a one-time task and the work that you have done as part of an audit will quickly become redundant if you do not maintain it and have an effective Vendor Management Process in place to do this. Establish a schedule (say, quarterly or at least yearly) to revisit the EdTech list and a process for making sure that all new EdTech applications and features go through your Vendor Management Process. Subscribe to vendor newsletters or product update feeds so you get alerted to changes. If possible, assign tech-savvy teacher liaisons or a digital learning leads to continually collect feedback as new features roll out during the year. By the next review cycle, you’ll have a running log of noted issues or successes to inform your decisions making this process . 

By following these steps, schools can complete an effective audit of their EdTech ecosystem to ensure that it is both effective and safe.
